Objectives

“One Competition, endless prospects & opportunities.”

The Business Event Planning Competition (BEPC) is a brand marketing plan competition to showcase bright and exciting new marketing talents from global universities.

The competition aims to provide students with:

  • A platform to bring pride & recognition to their home country & universities,
  • Opportunities & exposure to the international marketing industry via exchange and networking with marketing professionals and peers.

Competition Format & Deliverable

The competition requires a submission in the form of a proposal and a project roadmap. The roadmap must include a 10-minute
presentation, followed by a 5-minute Q&A segment. A timekeeper will issue a reminder to each team once they have reached the final minute of their presentation. The entire competition will be conducted in English.

Each team must choose any one of the following three themes and complete a business event plan:

A.  Conference & Incentive Travel Plan
B.  Hotel Business Events Management
C.  Exhibitions & Conference Plan

A.  Conference & Incentive Travel Plan

  •  The objective of the travel proposal is to produce a conference and incentive travel plan for a client at the annual competition in Singapore.
  • Each team is permitted to choose one client company (either private China companies or foreign enterprises in China). The staffs in attendance at the annual meeting should be from the client’s headquarters or branch companies around China.
  • The clientele industries should include but is not limited to – automotive, digital electronics, energy, finance, catering, entertainment, chemical production, advertisement, mass media etc.
No. of Attendees 300 people, including 50 VIP staff, 150 elite staff & 100 family members of the staff.

Organizer Subjective to each team to provide names of the companies
Catering & Accommodation To look into caterers and accommodation, place bookings in accordance to the quantity and ensure provision of service and reception for the guests.
Transportation & local hospitality To look into transportation to-and-from Singapore, providing local hospitality and transportation during their period in Singapore.
Planning of Activities To design the schedule (inclusive of time, location?participants and programme), visual planning (logo, identification cards, invitation letters, copywriting), activity planning, convention theme planning and speaker invitations
Financial Budget To be responsible for overall expenditure
Activity Execution & Crisis Management To ensure that activities planned are properly matched in order to execute the plan, prepare for crisis management and control.

B. Hotel Business Events Arrangement

Teams who opt for the second theme will choose one conference hotel or design a new innovative hotel, and propose a turnkey business event plan for the annual meeting of the client company (including hotel reception and hotel activity arrangements).

C. Exhibitions & Conference Plan

The integral planning for one MICE project (including but not limited to plans of Exhibitions, conference, festival event and etc.)

FACTORS OF PROPOSAL CONTENT

  • Participants should introduce their proposal to the judges in detail according to professional knowledges of MICE with focused theories emphasized and relevant data provided, and presentation should include the process from project set-up to project promotion as well as program management and operation.
  • Analysis on project set up (containing possible risks analysis and solution)
  • Project operation plan (containing project construction and schedule)
  • Project marketing plan
  • Project budget (containing the estimated time that profit and loss get balanced according to the most real situation, analysis on best and worst scenario, and the solution for worst scenario)
  • Feasibility and sustainability of the project
  • Participants could emphasize some of the aspects above according to their own strategies and project features, as well as chose whether to present other relevant contents in the proposal and presentation, e.g. crisis management, information management, human resource management and etc.
  • The presentation should clearly convey the following message to judges: target audience of the exhibitor, display range of the MICE, target group of the audience, the specific position compared to other similar MICE. Marketing plans should be diversified on different target groups.
  • Except analyses on external elements (economy environment, regional advantages and etc.), if there is existing MICE on similar topics, SWOT analysis should be provided (strength, weakness, opportunity, threat of the project) should be provided together with how to exert strength, avoid weakness and deal with risks. Meanwhile, the result of SWOT analysis should be of influence on project operating strategy and practice.
  • The plan and execution of each part (marketing, operation, budget and etc.) should be in accordance with project positioning strategy.

Judging Criteria

The competition will be judged based on a percentage system, totaling 100%. Planning of proposals will be 50% and the presentation segment will be 50%.

Terms & Conditions

The BEPC is an invitation open to only competition for university and polytechnic schools. Invited schools will include university undergraduates & polytechnic diploma students from China, China (Taiwan), China (Hong Kong), Singapore, Thailand and Malaysia. Each school will be allowed to send a maximum of 2 teams.

Students should come from business related disciplines including BBA, Sales and Marketing, Retailing, Franchising, International Business, E-commerce, Hospitality, Hotel and Tourism, Events Management, General Management and Economics Studies, etc.

Team composition: 3 – 5 students in each team, along with 1 faculty mentor (optional).

Final submission of business plan and presentation: 15 May 2019, 23:59 hours.

Rules & Regulations

Participating teams must submit their final project report and their presentation power point (PPT) slides by email to bepc@gcmf.com.sg by the final submission date and time.

PPT slides are to be submitted in Microsoft PowerPoint 2010/2013, slide size must be Widescreen 16:9.

Students are to bring the softcopy of the presentation slides along with them to prevent loss of documents / corrupted documents.

Order of presentation will be decided through balloting before teams arrive in Singapore.

Each team will have 10 minutes to present, followed by 5 minutes of Q&As. All reports and presentations must be submitted either in English or Chinese.

Final submission of business plan and presentation: 15 May 2019, 23:59 hours.

The registration fee does not include payment for your accommodation, food and transportation.

  • Each participating teams are required pay SGD$ 600.00 of registration fee. (excluding additional fees to be paid based on your bank requirements)
  • Confirmation email will be sent to teams once payment has been made. If you have yet to receive the email, you are not allowed to participate in the competition
  • The registration fees does not include payment for your accommodation, food and transportation.
